Calendar and occupancy
Viewings, handovers, rent days and lease ends in one calendar, plus calendar links that keep themselves up to date.

Day, Week, Month: events arrive by themselves (viewing, protocol, tradesperson, rent day, lease start and end, inspection). The Occupancy menu item shows who lives in each flat and when, and you can block dates there too.
You cannot add a contract or a viewing slot in a blocked period, and you cannot block dates during a lease. The portal link shows the dates as booked; only your team sees the reason and the note.
- 1On the Occupancy page click Block, or click a free day in the flat's row.
- 2Enter the first and last day, the reason (Owner staying, Renovation, Damage or repair, Other) and a note if needed.
- 3Save it. The block shows as a striped bar; click it to change or delete it.
- 1Click Event.
- 2Choose a type (Key handover, Inspection, Renovation, Call, Meeting, Other), a property and a time.
- 3Save it. A multi-day event can be at most 31 days long.
On the Occupancy page, Availability calendar for booking portals gives you one link per flat that only sends the let and blocked days (Airbnb, Booking.com, HousingAnywhere, Uniplaces, Flatio, Wunderflats).
- 1Create subscription link: for your own Google, Outlook or Apple calendar.
- 2Under What should the calendar show? tick the events you want in it, then Save.
- 3Copy link, and add it to your calendar as a subscription.
Bookings refresh every hour, or straight away with Refresh now. On the Occupancy page they show as dashed bars with the portal's name; for a flat let room by room, a booking of the whole flat also shows in the rooms' rows.
You cannot add a viewing slot on days booked through a portal. If a booking clashes with a lease, a block or another portal's booking, it gets a red clash marker: sort it out on the portal or in Rentkey.
- 1On Airbnb, Booking.com or another portal, copy the listing's calendar export (iCal) link.
- 2On the Occupancy page, in the Availability calendar for booking portals table, click Import in the flat's row.
- 3Paste the link and click Add. You can add up to 5 portals per flat (or room).
The guide opens on every plan; below Pro, use the Connect button at the bottom of the Occupancy page. The Rentkey calendar link and importing the platform's link come with the Pro plan; until then, record bookings made there with the Tenant from a platform button.
HousingAnywhere and Uniplaces only read the Rentkey link and give no link of their own: record a tenant booked there with the Tenant from a platform button.
- 1In the Availability calendar for booking portals table, click Connect in the flat's (or room's) row.
- 2Choose the platform: HousingAnywhere, Spotahome, Flatio or Uniplaces. You see 3–4 steps and the flat's Rentkey calendar link with a copy button.
- 3Paste the link into the platform's calendar import. You can paste Flatio's own link here as well (and Spotahome's, if it gives you one), so bookings made there come in too.
The tenant does not need a Rentkey account, and there is no signing or identity check. The platform handles the rent, so this lease has no rent tracking in Income. Back-to-back bookings can be recorded, overlapping ones cannot. You can also record a booking that has already ended: it goes into the flat's history as an ended lease.
- 1On the Occupancy page click Tenant from a platform, or on the flat's page Actions › Tenant from a platform.
- 2Choose the platform (HousingAnywhere, Spotahome, Flatio, Uniplaces or other), and enter the move-in and move-out days and the monthly rent. The tenant's name and email are optional.
- 3Save: the days become booked on the Occupancy page and on the portal link.
